Whose data do we process?
We process personal data of people we do business with, or who contact us:
- contact persons at customers and at businesses that want to become customers;
- contact persons at suppliers;
- visitors to our website and people who send us a message;
- job applicants.
We receive this data because you buy products from us or supply them to us, use our services, or give it to us yourself, for example through a form on this website.
Which data do we process?
Customers and suppliers
- name, form of address and address details;
- phone number and email address;
- bank account number;
- Chamber of Commerce (KvK) number and VAT number;
- orders, deliveries and invoices;
- details of how you use our web shop, such as your IP address and when you log in;
- other data you give us, for example when you apply for an account.
Through the forms on this website
- Contact form: your name, company name, email address, phone number and your message.
- Become a customer: company name, contact person, address, email address, phone number, Chamber of Commerce number, VAT number, type of business and website.
- To keep out spam we store an encrypted (hashed) version of your IP address. Your IP address cannot be recovered from it.
Website visits
- Only with your consent: data about your visit through Google Analytics, such as which pages you view, how you found the site and which device you use. Google Analytics does not store IP addresses.
Job applicants
- your cover letter and CV, including details such as your nationality and education;
- references and diplomas or certificates;
- a photo, if you choose to send one.
What do we use your data for?
- to assess your application for a customer account, and to create and manage your account;
- to process, deliver and invoice orders, and handle payments;
- to stay in touch with you about your orders and questions;
- to inform you about our range, offers and events;
- to manage orders from and deliveries by suppliers;
- to handle job applications;
- to secure and improve our website;
- to meet legal obligations, such as the tax retention obligation and rules on identification, fraud and sanctions.
We do this because it is necessary to perform an agreement with you, because the law requires it, because we have a legitimate interest as a wholesaler (for example to inform business customers about our range and to keep out spam), or because you have given us your consent. You can withdraw your consent at any time.
How do we keep in touch?
We may contact you by phone, email, post or WhatsApp, through push notifications in our app and through the live chat on our website. No longer want to receive information about our range? Let us know at info@sweetandcandy.com.
How long do we keep your data?
We do not keep your data longer than needed for the purpose we received it for, or for as long as the law requires.
- We keep customer and supplier data for as long as we do business together. Data needed for our accounts is then kept for another seven years, as required by law.
- We keep messages sent through the contact form for as long as needed to handle your question.
- An application to become a customer that does not lead to a customer account is deleted once the application has been handled.
- We delete job application data no later than four weeks after the application procedure has ended. If you give us permission, we keep it for up to one year, so we can contact you if a suitable vacancy comes up later.
- We keep statistics from Google Analytics for no more than 14 months.
Do we share your data with others?
We never sell your data. We only share it when that is necessary to perform an agreement with you or when the law requires it.
We outsource some services, for example to IT and hosting companies and to carriers that deliver orders. With companies that process personal data on our behalf, we sign a data processing agreement, so they handle your data as carefully as we do. We remain responsible.
The fonts on this website are loaded from Google Fonts, which sends your IP address to Google. If you allow statistics, Google also processes data for Google Analytics. Google may process data outside the European Union, including in the United States, and is certified for this under the EU-US Data Privacy Framework.
Minors
Our website and services are intended for businesses. We do not knowingly collect data from people under 18. If you think we have data about a minor, please contact us at info@sweetandcandy.com and we will delete it.
Cookies
Our website only uses cookies that are needed to make the site work and, if you give consent, cookies to measure visits. Our cookie statement explains exactly which cookies we use and how to change your choice.
How do we protect your data?
We take appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised changes to your data. For example, all traffic with our website and web shop uses an encrypted connection (https), and only staff who need your data for their work have access to it.
Do you think your data is not properly secured, or are there signs of misuse? Please contact us straight away at info@sweetandcandy.com.
Your rights
You have the right to:
- view your data;
- have incorrect data corrected;
- have your data deleted, if we no longer need it or may no longer keep it;
- withdraw your consent;
- object to the use of your data, for example for information about our range;
- receive your data in a common file format, or have it sent to another organisation.
